Intake Process

WVU Health Sciences and Medicine's marketing and communications team members are available to assist. Use the information on this page to help determine how to get your request into our intake system.

Marketing and Communications

These requests include news and announcements, event publicity, social media coverage, marketing strategy, and photography coverage connected to a news or media event.

This is also where users can submit corrections to active news, announcements, digital media, or social media posts.

Expected turnaround time

  • News and announcements: Two weeks

  • Social media coverage: One week

  • Digital signage request: One week

  • Marketing strategy: Varies based on scope of request, plan for at least two months out from the event/program/need

During our busiest seasons, referred to as marketing sprints, project turnaround times may be delayed. Please take note of the sprints outlined below.

  • Fall Sprint: August 1 - September 15

  • Winter Sprint: Novemeber 15 - January 2

  • Spring Sprint: March 1 - April 1

  • Summer Sprint: May 1 - May 30

What happens next

After submitting the form, a team member will be in touch to let you know who is assigned to your project. Project intake is a rolling process, but for larger requests or needs, projects are reviewed each Tuesday before noon. Submissions to the form after noon on Tuesday may not receive a response until the following week.

Videography

WVU Health Sciences has limited video resources. Those interested in pitching a video idea should work with their School Communications Director to pitch ideas for video projects.

Turnaround time

Varies based on project and resource availability.

What happens next

After submitting the information to your communicator, he/she/they will bring this request to our Discovery Meetings on Thursdays. Requests made after noon on Thursday will not receive a response until the following week.

Web and Analytics

These requests include Health Sciences Directory updates, website corrections, and new site or page requests.

Expected turnaround time

  • Directory updates: Basic changes can take 1-2 business days. More complex requests can take 3-5 business days. Should more time be needed, our team will follow up on the request.

  • Website corrections: General edits will be completed in 1-3 business days. More complex edits can take 4-7 business days. If additional time or information is needed our team will follow up on the request.

  • New page requests: Varies based on scope of request, plan for at least 3 weeks from the expected launch date.

  • New website requests: Varies based on the scope of the request. Plan for at least 3 months from the expected launch date.

  • Analytics requests: Basic analytics requests will be completed in 3-5 business days. More complex requests can take 5-10 business days. If additional time or information is needed our team will follow up on the request.

All requests received by the Health Sciences Communications and Marketing, Digital team will be followed up on within 1 business day with either a completion of work or an update on the timeframe for completion.

Professional Photography

WVU event photography, headshots, and off-site location shoots are booked through WVU Photography. Travel and other fees may apply. View Photography Information.

Graphic Design

Our creative staff will help you promote your identity while adhering to the WVU brand. We can design for any need, including advertising, banners, brochures, flyers and signage. When submitting project requests, please include requested information regarding your proposed project and all supporting material, such as photography, graphics, etc., if available. Due to workload and institutional priorities, design projects are subject to approval. Print and associated costs for design projects are the responsibility of the requesting program or department.
