Step 2: Moving or Building the Content

Led by the Health Sciences Communications and Marketing Digital team, with participation from the client.

The Health Sciences Communications and Marketing Digital team is primarily responsible for moving all content from the old site to a new site, or for developing a new site. Unit and school contributors are not expected to build the site, but they will be encouraged to provide feedback about their target audiences, how visitors say they use the site, and what they feel are the most important content areas for their site.

As the primary editors in their sites, communicators and their teams during this phase will supply source content, verify accuracy, and use check-in meetings to get comfortable with the editing environment, its tools and the design system, provided by the digital team that they will use to manage the site after launch.

Health Sciences Web Services Responsibilities

  • Build out the new staging site in Umbraco Cloud based on the audit, exploratory worksheet, and agreed-upon navigation from Step 1

  • Move content into the appropriate templates and components

  • Configure HSC Directory, HSC News, and WVU Calendar integrations for the site

  • Source images and media from the client or communications and marketing team, and place them appropriately

  • Identify any PDFs or documents that need to be migrated and flag accessibility issues along with plans for resolving these

  • Lead regular check-in meetings with the unit/school throughout content move or build

  • Use check-ins with communications teams to walk unit/school members through the Umbraco interface, design system components, and content editing workflows so they are prepared to manage the site post-launch

Client Responsibilities

  • Work with web services and communications to refine the proposed site structure before content move or build begins

  • Provide all source content, images, and media assets to the communications team

  • Review new content for accuracy — confirm it reflects current programs, contacts, and information

  • Attend check-in meetings and use them to ask questions

  • Designate a contributor on their team who will be responsible for ongoing content review and submitting updates and requests [add form] after launch.
