Step 4: Leadership Review and Approval

Completed at least 2 weeks before the target launch date.

Health Sciences Communications and Marketing offers clients the ability to review their new site in a staging environment that displays design and content as it will appear on a live site. Review and approval are conducted directly between the client, the client’s leadership, and the communications team.

Communications Teams Review

  • The HSC communications teams conduct a final review of the staging site

  • HSC Web Services will share a preview of the site with the WVU Web team prior to launch. This is an informational step, and any outstanding notes from the WVU team will be addressed by the WVU Health Sciences Communications and Marketing Digital team.

  • Any outstanding issues or recommendations are documented and relayed to the appropriate parties

  • Feedback from the communications teams is addressed

Client and Leadership Sign-Off

  • Share staging site link with client leadership (dean, director, or designated approver)

  • Leadership reviews site for accuracy, tone, messaging, and overall presentation

  • Collect written approval (email confirmation is acceptable) from the client's designated approver

  • All content revisions based on leadership feedback are completed and verified

Pre-Launch Coordination – HSC Web Services

  • Confirm launch date[ ] Confirm redirect plan for any URLs from the old site that need to carry over

  • Coordinate with ITS or Umbraco Cloud as needed for DNS and domain changes

  • Notify any stakeholders who need advance notice of the new site going live

  • Move any final changes from the CI/CD Holding space to Umbraco Cloud Staging prior to launch.
